Latch Trek Events 2026 - Rules of Participation 

 Thank you for joining #TeamLatch. By registering to take part in a Latch fundraising activity linked to a trekking event, you agree to the following Rules of Participation (“Rules”). 

 These Rules apply to individuals registering with Latch Welsh Children’s Cancer Charity (“Latch”, “we”, “us”, “our”) in connection with trekking events delivered by Ever Trek. 


Application of These Rules 

These Rules apply to the following Events:

Snowdon Sunrise Trek (18–19 September)

Childhood Cancer Awareness Month Gower Coastal Walk (13 September)  

  • 24-mile route (starting Rhossili)
  • 12-mile route (starting Oxwich Bay)
  • 1-hour self-guided walk from Caswell Bay to Mumbles 

These Rules govern your relationship with Latch only, specifically your fundraising commitment and participation as a Latch supporter. 

 The Events themselves are:

  • Organised and delivered by EverTrek;
  • Subject to separate EverTrek Terms and Conditions, which all participants must agree to. 

 By registering, you confirm you

  • Accept these Rules;
  • Will comply with EverTrek’s terms and instructions. 

Registration and Eligibility 

 To purchase an Event place, you must be aged 18 or over 

You may register child participants only where you accept responsibility as their parent/guardian 

By registering, you confirm:

  • You have read, accepted and will comply with these Rules;
  • You have made any other participants you register aware of these Rules;
  • If registering a child:
  • You consent to these Rules on their behalf;
  • You accept responsibility for their participation under your supervision. 

Participation is by pre-registration only. No on-the-day entry is permitted. 

  • Minimum registration fee: £25
  • Registration fees are non-refundable after 7 days. 

Fundraising Commitment 

By registering, you agree to:

  • Actively fundraise for Latch
  • Aim to raise a minimum of £250
  • Conduct fundraising legally and responsibly
  • Pay all funds raised to Latch promptly 

Safety, fitness and injury 

You are responsible for:

  • You (and any child you are responsible for) are sufficiently fit and healthy to participate
  • Before registering yourself or family members for this event, we recommend checking in with a doctor if you're not certain.  

Some events may involve demanding vigorous exercise, and you could be expected to trek continuously for between 4-12 hours, sometimes over difficult terrain and in variable weather. Participants are responsible for making sure they are prepared for the trek by

  • training  
  • bringing the required clothing and kit.  

A kit list will be provided to you before the event. 

  • Your safety is of absolute importance to us. Make sure you follow all safety instructions and training procedures when taking part in events.
  • Ever Trek, is responsible for your safety on all routes. They will be on regular patrol of the route and assessing the weather and terrain at all times.  

Any decision to cancel or curtail the event will come from them and will only be taken If they consider the health and safety of the participants to be in doubt should the event continue. In order to ensure the safety of the event they may:

  • Amend routes or timings
  • Apply cut-off times
  • Cancel or curtail Events 

Participants must follow all EverTrek instructions. 

  • Latch, its employees, agents and volunteers can accept no liability to people taking part or those cheering you on when it comes to any loss, damage or personal injury occurring during your event. This excludes any personal injury (including death) caused by our negligence. We can't accept responsibility for any damage, injury or loss that might occur through your own negligence. 

Age Requirements 

Snowdon Sunrise Trek

  • Minimum age: 18 years 

Gower Coastal Walk  

24-mile (Rhossili) and 12-mile (Oxwich Bay)

Minimum age 14

Participants aged 14–17 must:

  • Provide parental or guardian consent;
  • Be accompanied by a parent or legal guardian at all times

Final Self-Guided Section of Gower Coastal Walk

  • No minimum age applies
  • All participants under 18 remain fully the responsibility of their parent or guardian
  • They must remain under direct supervision at all times 

Conduct 

  • On the day of the Event, participants must:
  • Not use aggressive or abusive language
  • Not behave in a way that may cause harm, offence, or reputational damage
  • Not smoke or use e-cigarettes
  • Respect local residents and avoid excessive noise
  • Use litter/recycling facilities or take waste home 

 You must ensure any child participants you accompany also comply. 


Event Viability and Financial Conditions 

You acknowledge that the Events are dependent on:

  • A minimum number of participants; and/or
  • Sufficient fundraising income to cover the minimum costs of participation. 

Latch and/or Ever Trek reserves the right to:

  • Cancel, postpone, or rearrange participation in an Event where these conditions are not met. 

In such circumstances:

  • Participants will be notified as soon as reasonably practicable
  • You may request a refund of your registration fee or donate your fee to Latch
  • Latch shall not be liable for any personal costs incurred (including travel, accommodation or equipment). 

Transfers, withdrawing and participation 

 If you need to withdraw from a trek for any reason, your place is not automatically transferrable to another person or event taking place. If you are no longer able to take part, you must  

  • Contact fundraising@latch.org.uk at your earliest convenience so that we can do our best to find a mutually agreeable solution  
  • We do not accept substitutions on the day, only the person who registered for the event is able to use that place.
  • All participants must be on time for the event
  • Late arrival may not be permitted to take part.
  • Participants will be refused to take part if they are inappropriately dressed or prepared for the trek; in this instance no refund will be given. 

Participation without registration is not permitted. If you participate without registration:

  • You are not considered an official participant
  • You are not entitled to event support or resources
  • You participate entirely at your own risk 

Data Protection 

Your personal data will be processed by Latch for:

  • Fundraising administration
  • Event communication  
  • When you register, you consent to any relevant information being shared with the event organisers Ever Trek, in order to enable your safe participation in the event. 

Photographs and media 

  • Any photos, video, audio or quotes taken by us on the event day may be used by Latch to promote future fundraisers and our challenge events. If you don't want to be in any photos or videos or to be quoted in any way, that's absolutely fine, just let the Latch team know by emailing fundraising@latchwales.org.  

The Childhood Cancer Awareness Month Gower Coastal Walk – Self-Guided Final Section 

The Gower Coastal Walk includes a final 3-mile (approx. 1 hour) section from Caswell Bay to Mumbles, which is self-guided.

Up to Caswell Bay:

  • EverTrek provides guided support.

From Caswell Bay onwards:

  • EverTrek’s guided supervision and responsibility ends;
  • Participants continue independently;
  • Signage may be provided but does not constitute supervision. 

 By participating, you acknowledge that:

  • You are fully responsible for your own safety, navigation and wellbeing during this section;
  • Neither Latch nor EverTrek accept responsibility for incidents arising during this self-guided portion.
  • Parents/guardians are fully responsible for any participant under 18 throughout this section. 


Liability 

  • All participants and spectators attend and enter an Event entirely at their own risk.
  • Latch shall not be liable for any injury, damage or loss to persons or property arising from participation or attendance at an Event, except where caused by our negligence.
  • For the avoidance of doubt, nothing in these Rules limits liability that cannot legally be excluded. 

 Latch is not responsible for:

  • Event delivery
  • Acts or omissions of EverTrek 

Participation in self-guided sections is entirely at the participant’s own risk. 


Amendments 

Please check these Rules periodically. We may update them and continued participation constitutes acceptance of any changes.
